Overview
This module lets a Point of Sale sell time by the hour or minute, such as game rooms, meeting rooms or rentals. Managers define rooms and pricing tiers, and cashiers start, pause and stop timers straight on the order line while the system prevents double booking of a room. It extends the Point of Sale and Products apps and prints a dedicated receipt. The benefit is accurate, auditable time billing without manual calculation.
Usage steps
- 1
Create room types and rooms
From the Time Based Products menu the manager creates Room Types and then Rooms. Each room has a name, code, type, capacity, linked product, pricing mode (fixed price or time-based) and a status. A button on the POS settings, Manage Rooms, opens the same list. Rooms can be archived without deleting history.
- Create room types first
- Set capacity, product and pricing mode
- Use Set Available or Set Maintenance
- 2
Mark products as time based
On the product form the POS Time Based tab lets the user tick Time Based Product and choose the unit, hours or minutes. A smart button shows the linked rooms. The product can also use variable pricing. Products keep their normal sales settings.
- Tick Time Based Product
- Choose hours or minutes
- Open linked rooms from the smart button
- 3
Define variable pricing tiers
For products with variable pricing the user adds tier lines with sequence, from unit, to unit, price and description, also available under the Variable Pricing menu. The system picks the tier that matches the elapsed time. Room fixed price can override it depending on the pricing mode. Tiers are ordered by sequence.
- Add from, to and price per tier
- Tiers are sequenced
- Room fixed price can apply
- 4
Configure rounding and limits
In POS settings the administrator sets the default minimum duration, rounding method and granularity, whether manual price edits are allowed, whether a room must be chosen, and the session warning minutes. These rules are applied when a timer stops. Cashier and manager permissions come from the POS Time groups on the user form.
- Set minimum duration and rounding
- Allow or forbid manual edits
- Grant cashier or manager group
- 5
Start and run a timer in the POS
The cashier adds a time-based product to the order, picks a room and presses Start on the line. The system records start time, cashier and pricing mode, and marks the room as occupied so it cannot be booked twice. Pause and Resume track pauses. Timers are shown as a running duration on the order line.
- Add product and pick a room
- Start, Pause and Resume
- Room becomes occupied
- 6
Stop, price and adjust
Stop ends the timer, computes the total duration net of pauses, applies minimum duration and rounding, and prices the line from the tier or fixed price. Managers can adjust manually, and the original price and duration are kept. Unfinished timers are auto-stopped when the session is closed. The room is released after stopping.
- Total duration excludes pauses
- Manual adjustment keeps the original
- Auto-stop on session close
- 7
Audit trail and receipt
Time events are written into the POS order chatter as a session summary, giving an audit trail of who started, paused and stopped. A dedicated Arabic-friendly receipt report prints the time details. The POS order form shows the room, duration and pricing mode. Managers review these entries when reconciling.
- Chatter keeps a session summary
- Time receipt report
- Room, duration and mode on the order
