Overview
Purchasing teams often need to see only the orders of certain product families or supplier classes, and some categories are sensitive. This module lets an administrator define filter categories based on product categories or supplier classification, group them, and assign them to users. When a user opens Purchase a popup offers only the categories allowed to him, and some categories can require a password. It plugs into Purchase, Contacts and Users, and keeps sensitive purchasing data out of the wrong hands.
Usage steps
- 1
Define filter categories
The administrator opens the Purchase Filter Categories menu and creates a category with name, sequence and icon. The category is based either on product categories or on the supplier classification, or it can show all orders. A password can be required to enter it.
- Source: product category or partner classification
- Option: show all
- Option: require password
- 2
Classify suppliers
A partner classification model is added with name and colour, and the partner form and the purchase order show the classification tags. Buyers therefore see the class of each supplier on the order. The classification feeds the partner-based filter categories.
- Partner classification with colour
- Tags on partner and order
- Used by partner-based categories

Group categories and members
Filter groups collect categories and list member users with the companies they apply to. Saving a group keeps a linked security group and its members in sync automatically. Managers can adjust groups without editing users one by one.

- Members with companies
- Security group synced automatically

Assign categories to users
On the user form a field lists the purchase categories that user may open. Together with group membership this decides what appears in the popup. Users see nothing beyond their assignment.
- Field on user form
- Combined with group membership
- Popup shows only allowed categories
- 5
Pick a category when opening Purchase
Opening the purchase orders entry shows a popup with the allowed categories as tiles. The user chooses one and the list opens with the matching domain. Categories requiring a password ask for it before opening.
- Popup with category tiles
- Domain applied to the list
- Password check for protected categories
- 6
Set the shared password and open settings
In the settings the administrator sets the purchase filter password and can jump to the categories or groups screens with two buttons. The main menu also has a settings entry. Managers of the filter group get full access, while other users only read.
- Field: purchase password
- Buttons: manage categories, manage groups
- Read-only for normal users
