Overview
New products entered by mistake can end up on quotations before anyone checks them. This module gives each product a status of Draft or Approved and adds a manager role to approve. Once approved, key fields are locked and sale order lines offer only approved products. It suits companies with a controlled catalogue. It links Sales, Purchase, Inventory and Manufacturing through the product record.
Usage steps
- 1
Create a product as draft
A new product starts in Draft status. The status is shown in the header of the product form. Tracking keeps changes in the chatter.
- Status: Draft
- Statusbar in the form
- Tracked changes
- 2
Approve the product
A user in the Product Manager group presses Approve. The status becomes Approved. Others cannot approve because the button is limited by group.
- Button: Approve
- Group: Product Manager
- Status: Approved
- 3
Lock approved products
When the product is approved, its form fields become read-only. Editing requires resetting to draft first. This protects prices and details from silent changes.
- Read-only when approved
- Reset to Draft button
- Applies to variants too

Filter sale order lines
In sales orders the product selector offers only approved products. Salespeople cannot add draft items by accident. The same rule is visible in the order line view.

The manager can press Reset to Draft to reopen a product for changes. After edits the product needs approval again. The history stays in the chatter.
