Transport Quotations

This application prepares and prints formal transport quotations for petroleum materials. A quotation carries the customer, dates, preamble, notes and closing text, and can list either regular service lines or tank lines with quantities, in one of two quotation kinds. The chatter records messages and activities, and a print wizard controls which columns and header details appear on the PDF. It is used by sales and transport teams working with the Accounting currency and tax settings.

   Open the quotations menu

   The Transport Quotes app opens a list of quotations with a search view. Users see the reference, customer, dates and state. Access is given by the transport user and manager groups. Numbering comes from a sequence.

   Create a quotation and choose its kind

   The user creates a quotation, chooses the kind with a radio field, and selects the customer, issue date and print name. Quantity labels can be customised for the two quantity columns. Company and currency come from the company settings. The record starts as a draft.

   Add service lines

   On the Quotation Lines tab the user adds lines with description, quantity, price and taxes, and the untaxed, tax and total amounts are computed. Lines can be reordered by sequence. The totals appear on the form and the printout.

   Add tank lines

   For the tank kind, the Tank Quotation Lines tab lists tank details and quantities instead of ordinary lines. The report title, company name and text blocks (preamble, notes, closing) can be customised on the quotation. This suits petroleum haulage offers by tank.

   Confirm and follow through the chatter

   Confirm Quote sets the confirmation date and locks the state, Return to Draft and Cancel are available, and the chatter keeps messages, followers and activities for follow-up. Colleagues log calls and reminders on the quotation. The state shows in the list.

   Print with the print wizard

   Print / PDF opens a wizard where the user confirms the kind and switches the tax column and header details on or off, then Print produces the styled report. The company name and title come from the quotation. The PDF is used to send the offer to the customer.
