Overview

Sales teams sometimes confirm orders for goods that are not in stock, which later breaks delivery. This module adds an Allow Negative Stock flag on the product and checks stock when a sale order is confirmed. Sales users and inventory managers work with it inside the Sales and Inventory apps. If the flag is off, confirmation is blocked when the requested quantity exceeds the available quantity in the warehouse stock location. If it is on, the delivery quantities are filled automatically after confirmation.

Usage steps

  1. 1

    Flag the product

On the product form the user sets the Allow Negative Stock checkbox for items that may be sold without stock. The flag is not copied when the product is duplicated. Storable products without the flag are always checked.

    • Field: Allow Negative Stock
    • Not copied on duplicate
    • Applies to storable products
  2. 2

    Create the sale order

A salesperson builds a quotation with product lines in the normal Sales screen. Nothing changes until the Confirm button is pressed. The warehouse on the order defines which stock location is checked.

    • Screen: Sales order
    • Warehouse decides the checked location
  3. 3

    Stock check on confirmation

When Confirm is pressed the system finds the stock record of each flagged-off product in the warehouse stock location. It converts the available quantity to the line unit of measure and compares it with the ordered quantity. If stock is missing or too low, a validation error names the product and the available quantity.

    • Error: Stock location not found for product
    • Error: location has available quantity X
    • Unit of measure conversion applied
  4. 4

    Auto-fill delivery quantities

After a successful confirmation the transfers of the order are opened and, for products with the flag on, the done quantity is set equal to the demand. This lets negative-stock items be delivered without manual quantity entry. Other products keep the normal reservation flow.

    • Done quantity = demand for flagged products
    • No manual entry needed
