Overview
Employees need to ask for goods before procurement raises a purchase order. This module creates requisitions with lines, a department, deadline and CC users, approved first by the department head and then by a procurement officer. It links to Purchase and Employees. The benefit is a controlled request-to-order flow with a printable form.
Usage steps
- 1
Create a requisition
From Purchase Requisitions the employee presses New. The reference comes from a sequence and the requester defaults to the current user. Subject, Department, Requisition Date and Deadline are entered.
- Fields: Subject, Department, Deadline
- CC users can be added
- 2
Add requisition lines
On the Requisition Lines tab the user picks products, quantity, price and description. The unit comes from the product. The lines are what will later become purchase order lines.
- Fields: Product, Quantity, Price
- Unit from product
- 3
Submit for approval
The Submit button sends the requisition to the department manager. The status badge and the approval stage field show where it is. Followers are notified through chatter.
- Button: Submit
- Statusbar on approval_status
- 4
Department head approval
The manager presses Approve as Department Head or Reject. The is_manager check shows the buttons only to the right person. Reject and Cancel end the flow and Set To Draft reopens it.
- Buttons: Approve as Department Head, Reject
- Buttons: Cancel, Set To Draft
- 5
Procurement approval
A member of the Procurement Officer group presses Approve as Procurement Officer. The requisition becomes ready for ordering. The stage is tracked in chatter.
- Group: Procurement Officer
- Button: Approve as Procurement Officer
- 6
Create the purchase order
Create Purchase Order builds the order from the lines and stores the link on both sides. An error stops it when there are no lines. A server action does the same for selected requisitions.
- Button: Create Purchase Order
- Smart button: purchase orders
- 7
Track and print
The Purchase Order Status shows the state of the linked orders. Requisitions can be archived and unarchived by server actions. The Print Purchase Requisition report gives a PDF.
- Server actions: archive, unarchive
- Report: Print Purchase Requisition
