Overview
Sales, purchasing, warehouse and accounting teams often repeat the same terms and remarks on every document. This module adds an HTML Notes field to sale orders, purchase orders, delivery transfers and invoices, with a default text per document type kept in the settings. Users can edit the note on each document and it is printed on the matching PDF report. It plugs into Sales, Purchase, Inventory and Accounting.
Usage steps
- 1
Define default notes
In the general settings the administrator writes a default rich-text note for sales, purchase, delivery and invoice documents. The values are stored as settings and read back when the settings screen opens.
- Four Notes fields, one per document type
- Rich HTML editor
- Translatable text
- 2
Sale order notes
When a new quotation is created the sale note is pre-filled from the default. The salesperson can edit it freely on the sale order form.
- Default applied on create
- Editable per order
- 3
Purchase order notes
Purchase orders receive the default purchase note when created. Buyers can adjust the terms before sending the request for quotation or order to the vendor.
- Default purchase note
- Shown on RFQ and order reports
- 4
Delivery notes
Stock transfers carry an HTML Notes field filled from the delivery default. Warehouse staff can add handling or delivery instructions before validating.
- Notes on the transfer form
- Printed on the delivery slip
- 5
Invoice notes
Customer invoices and bills get the invoice note by default. Accountants can change it per invoice, for example to add payment instructions.
- Default invoice note
- Editable before posting
- 6
Print on reports
The module extends the standard sale order, purchase order, RFQ, delivery slip and invoice report templates. The note is rendered as HTML in the printed document so formatting is preserved.
- Sale, purchase, RFQ, delivery, invoice reports
- Formatting preserved
