Overview

A contracting company runs each project through tendering, bill of quantities, budget, execution, progress certificates and handover, while controlling subcontractors, materials, equipment, labour, retention and site documents. This module brings that whole cycle into Odoo on top of Purchase, Stock, Accounting, HR expenses and analytic accounts. Project managers, quantity surveyors, site engineers, accountants and managers each work in their own group. The main benefit is one controlled record from tender price to final cost, with approvals and audit at every step.

Usage steps

  1. 1

Create the project and its structure

Open the Construction menu and create a project with client, stage and dates, then build the work breakdown structure (WBS) or load a saved template. The project moves through tender, award, start, preliminary handover, maintenance and final handover. Regulation profiles and project stages are configured once per company.

    • WBS with templates
    • Stages: tender, award, start, handover
    • Company regulation profile
  2. 2

Run the tender and rate analysis

Create a tender, register bids, and award it, or mark it lost or no-bid with a reason. Rate analyses build unit prices from material and labour components with margins and can be applied to BOQ lines. This prices the offer from real resources.

    • Tender bids and award
    • Lost reasons
    • Rate analysis applied to BOQ
  3. 3

    Prepare and approve the BOQ

Build the bill of quantities in sections and lines, then move it Draft, Under Review, Approved and Locked, creating revisions when needed. A BOQ can be converted to a contract or priced version. QR codes and procurement reports come from it.

    • Review / Approve / Lock
    • New revision
    • Convert to contract or priced
  4. 4

    Set budgets and cost control

Create budget baselines by cost type with approval and revisions, and use cost-to-complete, committed cost and earned-value lines to monitor. Cost control checks require approval or rejection. Cost allocation and batch runs distribute shared costs to projects.

    • Budget approve / revision
    • Committed cost, EVM
    • Cost allocation and batches
  5. 5

Issue work orders and procure resources

Work orders load BOQ items, are confirmed, started and completed, and link to purchase orders, stock moves and vendor bills. Resource requests check availability, reserve, issue and return materials, and procurement plans generate requests and RFQs. Equipment and labour assignments feed project cost.

    • Work order confirm / start / done
    • Resource request: reserve / issue / return
    • Equipment and labour assignments
  6. 6

    Manage subcontracts and measurement

Subcontracts load BOQ items and pass office, project manager and finance approvals, with retention release. Measurement books record executed quantities through submission and approval. Guarantees can be reduced, released or forfeited.

    • Multi-step subcontract approval
    • Measurement book
    • Guarantees and retention
  7. 7

Certify progress (IPC) and bill the client

Interim payment certificates refresh from executed quantities, then go through submission, QS review, consultant, certification and approval, with deductions reconciled. Retention releases and revenue recognition post accounting entries. Labour certificates work the same way for wages.

    • IPC workflow with consultant
    • Deductions
    • Retention release, revenue recognition
  8. 8

Handle variations, claims and payment requests

Variation orders are priced and approved; claims go through notice, submission and decision; site instructions can create both. Payment requests follow PM, finance and CFO approval up to payment. An approval matrix defines who approves what.

    • Variation order price / approve
    • Claim notify / submit / decide
    • Payment request approval chain
  9. 9

    Control the site and documents

Record daily site diaries with labour and equipment, RFIs, submittals, transmittals, correspondence, meeting minutes and their actions, permits, NCRs, snags and material tests. Risk registers track mitigation. These give a complete project file.

    • Site diary
    • RFI, submittal, transmittal
    • NCR, snag, risk register
  10. 10

    Track materials, wastage and reports

Material chain, three-way match, wastage, retention ageing and cash flow reports compare requested, received, invoiced and consumed quantities. Wastage over expectation opens a disposition record. The dashboard summarises project health.

    • Three-way match
    • Wastage disposition
    • Cash flow and ageing
  11. 11

    Close the project

Before closing, the close check reviews open critical risks and the closing checklist, then the project is closed. Portal pages and IPC Excel export are available to clients and consultants. Print and QR sharing come from linked printing modules.

    • Close check
    • Portal and IPC Excel
    • Print / QR sharing
