Overview
Payments such as post-dated cheques or transfers under collection should not reduce a customer's balance (or a vendor's) before the money actually clears. This module holds such payments on a dedicated pending account and only moves them to the partner account when an authorised user collects them, or when the bank statement is reconciled. It extends the Odoo Accounting payment form and the payment registration wizard, and adds a settings block and a Pending Payments menu. The result is a partner ledger that reflects real collections while every payment still has a full audit trail (settlement date, user and journal entry).
Usage steps
- 1
Enable pending payments in settings
In Accounting settings the administrator switches on pending payments and chooses whether it applies to inbound payments, outbound payments or both. The pending account and the settlement journal are then selected. The system requires the pending account to be reconcilable and of receivable or payable type, otherwise saving is refused.
- Tick enable, inbound and outbound
- Pick the pending account and settlement journal
- Optionally restrict to selected payment journals
- 2
Register a payment as pending
When a payment is created or registered from an invoice through the payment wizard, the system decides whether it must be held according to the settings and the journal. A held payment posts against the pending account instead of the partner account. The payment shows a pending state on its form.
- Works from Register Payment on invoices
- Destination account is replaced by the pending account
- Hold data cannot be edited manually
- 3
Review the Pending Payments list
The Pending Payments menu opens a filtered list of all payments still on hold. Finance staff use it as a worklist of cheques and transfers waiting for clearance. Each record can be opened to see the state, partner and amounts.
- Menu: Pending Payments
- Filtered on pending state
- Open a payment to collect it
- 4
Collect the payment
A user in the collector group presses the Collect button on the payment form. The system creates a settlement journal entry that moves the amount from the pending account to the partner account and re-reconciles the invoices that had been deferred. It refuses zero amounts, an invalid pending account, a journal from another company, or a user without collect permission.
- Button: Collect
- Settlement move linked to the payment
- Blocked without collector permission
- 5
Foreign-currency settlement safeguard
When the payment currency differs from the company currency the settlement needs an explicit exchange rate for the settlement date. If no rate exists the settlement stops with a message rather than using a substitute rate. A forced rate field is stored on the payment.
- Requires a rate dated on the settlement date
- Zero company-currency result is rejected
- Rate stored on the payment
- 6
Auto-settle on bank reconciliation
When the option settle on reconcile is enabled, matching the pending payment with a bank statement line triggers the settlement automatically. The partner account then reflects the collection without a manual click. The settlement date, user and move are recorded on the payment.
- Setting: settle on reconcile
- Audit fields: settle date, user, move
- Works with bank reconciliation
