Overview
A transport business has to dispatch loads, price every trip, track shortages, pay contractors and drivers and invoice customers, and it usually does this in spreadsheets. This multi-company module manages the full cycle inside Odoo: dispatch orders (TDL), trips with bills of lading, customer and contractor tariffs, cost lines, shortage compensation, settlements, treasuries, driver advances and follow-up, broker bills, and Arabic RTL reports. It plugs into Accounting, Fleet, Contacts and the chatter and creates real invoices, vendor bills and journal entries. Operations staff, accountants and managers work from one screen set with locks, corrections and an audit log.
Usage steps
- 1
Set up master data
Under Master Data the administrator defines locations, routes with distance, goods categories, vehicle classes, contractors, brokers, vehicles and customers or drivers. Cost types, treasury movement types and inbound broker commission items live under Settings. Everything is per company.
- Locations and routes with distance
- Goods categories, vehicle classes
- Contractors, brokers, vehicles, drivers
- 2
Define tariffs and rates
Under Pricing the user maintains customer price lists, contractor price lists, driver wages, shortage compensation lists and standard cost rates per kilometre. Prices can be per ton, per trip, per kilometre or fixed plus ton. The pricing engine picks the tariff by route, goods and date.
- Customer and contractor tariffs
- Methods: per ton, per trip, per km, fixed plus ton
- Driver wage and compensation lists
- 3
Create the dispatch order (TDL)
In Operations, TDL the dispatcher creates a dispatch order that groups trips for a customer. The order moves from draft to running with Start, and can be partial, done, closed or cancelled. Smart buttons open its trips, invoices and treasury moves.
- States: draft, running, partial, done, closed, cancel
- Buttons: Start, Close, Cancel
- Smart buttons to trips and documents
- 4
Register the trip and loading
A trip records the bill of lading number, route, goods, vehicle and driver, with the vehicle ownership taken from the fleet record and contractor or rental partner when applicable. The Approve loading button confirms the loaded weight and the trip becomes Loaded.
- Fields: BOL number, route, goods, vehicle, driver
- Ownership from the vehicle
- Button: اعتماد التحميل
- 5
Track transit and delivery
The In transit button moves the trip on the road and Delivery records the delivered weight. The system computes allowed and actual shortage using the per-thousand tolerance and names who bears the excess: contractor, driver or company. The trip then goes to review.
- Loaded, delivered and settlement weights
- Tolerance per thousand
- Shortage bearer: contractor, driver, company
- 6
Price the trip and add costs
The pricing engine computes customer freight, contractor cost, rental cost, driver wage and shortage compensation, and Reprice refreshes it after changes. A manual price is allowed only with a reason and the user is recorded. Cost lines add expenses and expected versus actual cost and profit appear on the trip.
- Button: إعادة تسعير
- Manual price with reason and user
- Expected vs actual cost and profit
- 7
Create accounting documents
From a reviewed trip the user creates customer invoices, contractor vendor bills and settlement entries with the create document buttons, and posts them. The trip becomes Invoiced and the documents are listed as linked documents. Cancelling asks whether to cancel the old invoice and release the payment.
- Buttons: إنشاء مستند, ترحيل
- Linked documents list
- Cancel invoice and release payment
- 8
Settle contractors and drivers
Settlements group trips for a contractor or driver from a settlement template, and Post creates the journal entry. Trips become Settled. A direct payment or a settlement entry can be made for the carrier.
- Menu: قيود التسوية, قوالب التسوية
- Button: ترحيل
- Direct payment to carrier
- 9
Treasury, advances and driver custody
Treasury moves record cash in and out by treasury type, transfers between treasuries and driver advances. The driver custody statement and the follow-up items and settlements track what each driver holds and has spent. A scheduled action settles driver custody automatically.
- Menus: حركات الخزينة, التحويل بين الخزنة
- Driver custody statement
- Follow-up items and settlements
- 10
Handle broker bills of lading
The office can receive a BOL as a broker, with commission lines, and transfer BOLs to another broker. Posting creates the accounting entry and cancel reverses it. Menus cover receiving and transferring BOLs.
- Received BOL with commission lines
- Transfer BOLs to a broker
- Post and cancel
- 11
Lock, correct and audit
Closed trips are locked so financial fields change only through the approved correction wizard. Mass cost updates go through a wizard with an audit of replaced entries. A business audit log and audit report show who changed what.
- Locked trips
- Correction and mass-update wizards
- Audit log and report
- 12
Dashboard and reports
The Dashboard shows the operation KPIs, and the Reports menu prints contractor, customer, driver custody and ledger statements, operational reports and BOL settlement, as PDF or Excel. Reports follow the Arabic or English language of the user and a pivot grid lists cost types as columns.
